Forum Event Setup in KL: A Complete Branding Setup for Sangfor International Executive Forum 2026

When planning a forum event setup in KL, the main backdrop is only one part of the overall picture. For a forum or conference, attendees may spend several hours at the venue — arriving at registration, listening to speakers, visiting product booths, networking, taking photos and moving between different areas.

That means the event branding has plenty of opportunities to work beyond the main stage. For the Sangfor International Executive Forum 2026 at Le Méridien Petaling Jaya, we produced a complete range of event branding elements across the venue, including stage branding, registration, photo areas and product information displays.

Here’s a closer look at each item we produced — and why each one had a different role to play.

Stage Skirting Branding Panel

The stage naturally becomes one of the most visible areas during a forum. Speakers, presentations and panel discussions can take up a large part of the programme, which means attendees spend a lot of time facing the stage.

For this setup, we added a custom stage skirting branding panel to cover the standard stage skirting and extend the event branding across the front of the stage. It may seem like a relatively small detail, but it makes the whole stage presentation feel more coordinated.

It also means the branding remains visible during speeches, presentations, panel sessions and event photography — even when the main backdrop is not fully captured in the camera frame. For corporate forums, this is one of those details that can make the stage feel much more complete.

Lightbox 3D Letters

The lightbox 3D letters were another important feature around the stage area. Unlike flat printed graphics, dimensional lettering gives the brand more physical presence. With internal lighting, the logo becomes even more noticeable within the venue.

For a forum, this works particularly well because the audience is facing the stage for long periods of time. The logo does not need to compete for attention. It simply stays visible throughout the programme as part of the stage environment. It can also become a strong branding element in photographs and videos of speakers.

Rostrum Cover A rostrum is directly in front of the speaker, so naturally it appears in many of the event's most important moments. Instead of leaving the hotel's standard rostrum unchanged, we added a custom rostrum cover that matched the event branding.

This keeps the logo visible when the camera is focused closely on the speaker. For conferences, forums and corporate presentations, this can be especially useful because many event photographs are centred on the person speaking rather than the whole stage. The rostrum cover may only occupy a small area, but it is often right in the middle of the audience's view.

A Complete Stage Look for a Corporate Forum

When these three elements come together — the stage skirting branding panel, rostrum cover and 3D lightbox letters — the whole stage feels much more complete and intentional.

For a forum or conference, the stage is where attendees spend most of their time looking, whether during speeches, presentations or panel discussions. The rostrum cover keeps the branding visible around the speaker, the stage skirting panel extends the event identity across the front of the stage, while the illuminated 3D letters add a stronger visual presence to the overall setup.

Together, they help turn a standard hotel stage into a more polished and coordinated branded environment. For a forum event setup in KL, these details may seem small individually, but combined, they can make a noticeable difference in how the event looks both in person and in photos or videos.

Registration Table Cover The event experience actually begins before attendees enter the main forum area. A clearly branded registration table cover helps guests immediately identify where they should check in.

Instead of having a plain hotel table at the entrance, the registration counter becomes part of the event identity from the moment attendees arrive. It is both a branding element and a practical wayfinding element.

For larger corporate events, where many guests may arrive within a short period of time, having a recognisable registration point can help make the arrival experience clearer.

Photo Backdrop for VIPs, Speakers and Attendees

A forum is not only about presentations. There are also networking sessions, meetings, VIP arrivals and plenty of moments where attendees want to take photographs together.

That is where a dedicated photo backdrop becomes useful. Instead of guests taking photographs against random walls or busy areas of the venue, the event has a proper branded photo point. This gives VIPs, speakers, partners and attendees a more suitable place for group photos while keeping the event name and branding clearly visible in those images. And when those photographs are shared afterwards, the branding continues to travel with them.

Tension Fabric Backdrops

For some areas of the forum, we used tension fabric backdrops. Tension fabric systems are a useful option when a cleaner, lightweight and portable display is needed. They can work well for secondary branding areas, information displays or spaces where a full wooden backdrop structure may not be necessary.

For organisers who plan to reuse the same branding at multiple events, tension fabric backdrops can also be dismantled, transported and set up again more easily.

Booth Backdrops for Product and Service Information

For Sangfor's forum setup, different booth backdrops were also used to present information about specific products and services. This is where event branding becomes functional.

Not every attendee is looking for the same information. By separating different topics or solutions into their own clearly branded areas, visitors can more easily identify where they want to go. The booth backdrop provides enough visual space for graphics, key information and service messaging while also helping distinguish one area from another.

For forums that include demonstrations, exhibitions or product showcases, this can make the overall attendee journey much easier to understand.

Counter Signage Covers

At the venue, the existing food counters already came with their own signage. Instead of leaving those signs visible and separate from the forum branding, we produced custom counter signage covers to cover them during the event.

This gave the refreshment area a more consistent look and extended the Sangfor event branding into another part of the venue. It may seem like a small detail, but areas such as food and refreshment counters are places where attendees naturally gather during breaks. By covering the existing signage with event-branded panels, the space feels more connected to the overall forum event setup in KL rather than looking like a standard hotel facility. Why Use Multiple Branding Elements for a Forum Event?

Better Brand Visibility Throughout the Event

A forum can last for several hours or days, so relying on one backdrop means the brand is only prominent in one location. By extending the branding to the stage front, rostrum, registration area, booth displays and photo area, the event identity stays visible throughout more of the attendee experience.

A Clearer Journey for Attendees

Good event branding can also provide direction. Registration branding tells guests where to begin. Counter signage identifies different areas. Booth backdrops help attendees find the products or services they are interested in. The setup looks better, but importantly, it can also become easier to navigate.

A More Consistent Corporate Event Environment

When the same visual identity carries from registration to stage, booth and photo area, the entire event feels more connected. Instead of having one impressive backdrop surrounded by unrelated venue furniture and displays, every major touchpoint feels like part of the same event. That consistency is particularly valuable for corporate forums and conferences where brand presentation matters.

Planning a Forum Event Setup in KL?

A complete forum event setup in KL does not necessarily mean adding more and more decoration. It is about identifying the areas that matter most during the event and making each one work harder.

For the Sangfor International Executive Forum, the stage branding kept the brand visible during presentations, the registration and counter branding helped guide attendees, the booth backdrops organised product information, and the photo backdrop created a dedicated space for networking and photographs.

Each piece had its own purpose — but together, they created one complete event environment. Have an upcoming forum or corporate event? Tell us your event date, venue and required setup items through our contact page, and our team will get in touch with you.
